SKAN, headquartered in Switzerland with a strong US presence, is a global leader in the pharmaceutical industry for its cleanroom equipment. This equipment is routinely used in vaccine development, production of pharmaceutical products, and other critical operations to ensure the safety and quality of pharmaceutical drugs.
Our US base is comprised of a parts business, a field service/assembly team, a microbiology team, a documentation qualification department, and a field qualification team, among other administrative functions.

The Office and Facilities Specialist is responsible for ensuring that the office and grounds are a clean, well-maintained, and professional environment for employees and both internal and external customers and visitors.

The successful candidate will work with internal staff and multiple vendors to coordinate events, meetings, site visits and other functions within SKAN US. They will also order supplies for the US office.

Function Specific Tasks:

  • Ensures the front desk is attended during key office hours of 7:45am to 4:45pm, with flexibility required depending upon office events
  • Keeps building secure by monitoring visitor entries and sign-ins
  • Coordinates SKAN US office functions including, but not limited to:
    • Ordering supplies
    • Monitoring guests/visitors
    • Ordering food and beverages for meetings and events
    • Organizing promotional materials for new hire orientations and customer visits
  • Works with all internal staff to coordinate and announce site visits to SKAN US, including maintenance of Site Visit calendar
  • Books conference rooms as needed.
  • Assists the Facilities Department with coordination of vendor relationships and on-site visits, including, but not limited to:
    • Building inspections
    • Emergency repairs
    • Routine maintenance
    • Equipment maintenance
    • Cleaning
    • Etc.
  • Places orders for and manages inventory of consumable supplies on a routine basis to include:
    • Snacks, coffee, etc. (Canteen)
    • Office Supplies (Staples, Amazon, etc.)
    • Toiletries, Cleaning supplies
    • Pest Control (Dodson)
    • Plant Service (Ambius)
    • Others as needed
  • Works with Procurement Specialist to identify potential new vendors to provide facilities services for review and approval of the Facilities Department and Director of Finance.
  • Interfaces with Finance/Accounting Department, Facilities, and Director of Finance on any invoicing issues or clarifications that are needed.
  • Ensures the break areas and bathrooms are fully stocked and presentable prior to the arrival of any customers and visitors.
  • ons and selected peak effort events with sales and larger SKAN US team support.

Experience Needed:

  • High school diploma required
  • Additional post-secondary education in Pharmaceutical/Biopharma industries preferred
  • Minimum of two years’ experience in dealing directly with customers and employees
  • Minimum of two years’ experience managing administrative tasks for a professional organization
